Frequently asked questions

It compares your company’s GST state code with the place of supply on the invoice. The same state means CGST and SGST, each half the rate; a different state means IGST at the full rate. If either state code is missing, the invoice is treated as within your state, so set your own state code before you bill. See GST and place of supply.

Yes. Turn off GST registered on the Company page and invoices are issued without tax. Your GSTIN and the printing of it are separate settings, so you can keep a number on file without charging tax.

Yes. Pick the currency on the invoice. GST is switched off for anything other than rupees, because an export is zero rated, and amounts in words follow the currency. Your LUT number for exports goes under Company → Invoice defaults.

Code, never a person and never the assistant. Each line’s tax is worked out in whole paise, the GST split and the round-off are calculated the same way every time, and the amount in words follows the Indian lakh and crore system for rupees.

Type a 6-digit PIN and ForgeDocs looks it up in the India Post directory, then fills the city, district, state and GST state code. Every filled value stays editable, and it never overwrites something you typed or a value already saved. If the lookup cannot be reached, the state is still worked out from the first digits of the PIN.

Yes. The first two digits are the state code and characters 3 to 12 are the PAN, so both are filled for you. ForgeDocs also checks the GSTIN’s last character, which catches most typing mistakes before the number reaches an invoice.

Yes. Start typing a name in the customer box and choose Create. A side panel opens with the GSTIN and address fields; save it and the new customer is selected on the invoice. See Add a customer.

Yes. Each customer has a billing address and an optional shipping address with its own state code. Leave Same as billing ticked when they are the same.

Each document type has its own series, and the next number is taken inside the same database transaction that creates the document, so two documents can never share a number. Change the format, and whether the count starts again each year, under Company → Numbering. A format that uses the financial year (2026-27) starts again on 1 April.

An issued document is never overwritten. Letters, certificates and proposals are corrected as a new revision that keeps the same number, and the earlier version stays on file. A tax invoice is corrected with a credit note against it, which is what GST expects.

Yes. Documents carry a QR code that opens a public page confirming who issued it, to whom and when. If you withdraw a document, the page says it was revoked rather than disappearing. Disciplinary letters such as warning letters are not published this way.

Invoices, proformas, quotations and proposals can be downloaded as Word documents as well as PDFs, from the document’s page.

Yes. A recurring schedule raises a real, numbered invoice on its cycle (every month, every 2 months, every quarter, every 6 months or every year) and emails it with the PDF through your own mail server, set up under Settings → Outgoing mail.

No. It looks people, customers and products up in your records, and when two records match it shows both and asks which one you mean. Prices, tax and totals are calculated in code, and nothing is issued until you have seen the draft and chosen to generate it.

Anthropic’s Claude by default. A self-hosted install can switch to OpenAI or Google Gemini with environment variables. Without a key, every document type still works from its form.

Owners and admins manage the team. Members create documents and keep records and company settings up to date. Viewers can read everything and change nothing. Only an owner can add or remove another owner. See Invite your team.

In ForgeDocs’ Postgres database, separated by workspace: every record and every query is tied to your workspace. Your mail server password is encrypted before it is stored, and changes to documents and records are written to an audit log. ForgeDocs can also be run on your own server with Docker.

Yes. Every screen works on a phone, with a tab bar for the main pages, forms that fit the screen and a sticky total on invoices.
